From the Users screen, Account Administrators can:
- Add users
- Remove users
- Edit user information, Roles, and Access Levels
- Reset user passwords
- Enroll users in one or more Apps or Products
- Unenroll users from one or more Apps or Products
- Assign users to one or more Groups
- Remove users from one or more Groups
Upon opening the Users screen within the Virtualitics Account Portal, Administrators will be able to see a list of all current users, including their Name, Email, Groups (if applicable), and Role.
Administrators can search for a specific user using the Search bar. The list of users can also be filtered by Name, Email, Groups, and/or Role. To do so, click the Filters button on the top right of the user list and input a filtering option.
A current user list can be downloaded in .CSV format by clicking the Download Users icon at the top of the screen.
Adding a New User to your Organization
- Log in to the Virtualitics Account Portal with an Administrator account.
- In the left-hand navigation bar, click Users.
- On the top-right of the screen, click Add User.
- Enter the First Name, Last Name, and Email/Username of your new user.
- Select the Role, and Access level you want to assign for the new user.
- Enter any optional notes.
- Click Save to create the new user.
Bulk Adding New Users
Administrators can also bulk add new users. To do so:
- From the Users screen, click the Import Users from CSV icon. This will open the Import Users dialog box.
- Download the example CSV file to use as a template.
- Input all required information for multiple users, including filling in the required columns.
- Upload the newly-created CSV file using the Import Users dialog box.
New User Registration
Once new users have been added, they will receive a Registration Email to finish setting up their account. Any users who have not completed this step will show a Not Registered flag. If users are unable to find their registration email, Administrators can resend the Registration Invite.
To do so:
- From the Users screen, find the user with a Not Registered flag.
- Click the three dots to the right of the user information.
- Click Resent Registration Invite.
Removing a User from your Organization
- Log in to the Virtualitics Account Portal with an Administrator account.
- In the left-hand navigation bar, click Users.
- Find the account to remove. Use the Search function at the top of the list to quickly find the account.
- Click the three dots to the right of the user information.
- Click Remove.
- Confirm your change by clicking Remove.
Bulk Removing Users
Administrators can also bulk remove users. To do so:
- From the Users screen, select multiple users by clicking the checkbox next to each user to be removed.
- Once all users to be removed are selected, click the Options drop-down at the top left of the list.
- Click Remove.
- Conform the change by clicking Remove.
Editing User Information, Roles, and Access Levels
Information for each user, including First Name, Last Name, Role, Access Level, and Notes, can be edited. For more on Access Levels and User Roles, see this article.
- From the Users screen, locate the user you'd like to make changes to.
- Click the three dots to the right of the user information.
- Click Edit.
- Make any necessary changes.
- Click Save.
Bulk Editing User Information, Roles, and Access Levels
Users’ Roles and Access Levels can also be bulk edited. This can help save time when needing to adjust access for multiple users.
To bulk edit Roles and Access Levels for multiple users:
- From the Users screen, select multiple users to adjust by clicking the checkbox next to each user.
- Click the Options drop-down at the top left of the user list.
- Click Edit Roles to adjust users' Roles. Click Edit Access to adjust Access Levels.
- Click the drop-down and select the new Role/Access Level to provide to all selected users.
- Click Save Users Roles/Update Users Access.
- The users' Roles/Access Levels will be updated.
Resetting User Passwords
If a user forgets their password or otherwise needs it to be reset, Administrators can make this change.
- Log in to the Virtualitics Account Portal with an Administrator account.
- In the left-hand navigation bar, click Users.
- Locate the User that requires password changes.
- Click the three dots to the right of the user information.
- Click Edit.
- Click Change Password.
- Enter a new password for this user.
- Click Save.
Enrolling a User in One or More Apps and Products:
Administrators are able to provide user permissions for different Apps and Products. At the highest level, Product Enrollment governs a user’s ability to access Virtualitics Products
App Enrollment governs a user’s ability to access Virtualitics-built or developer-built Apps within the Virtualitics AI Platform.
To enroll a user in one or more Apps and products:
- Log in to the Virtualitics Account Portal with an Administrator account.
- In the left-hand navigation bar, click Users.
- Locate the user to enroll.
- Click the three dots to the right of the user information.
- Click Enroll in Apps to enroll a user in an App. Click Enroll in products to enroll a user in a Product.
- Find the App or Product to enroll the user in and click Not Enrolled to toggle to Enrolled.
- Once the toggle has changed to Enrolled, the user should now have access to the Product or App.
Bulk Enrolling Users in One or More Apps and Products
Users can also be bulk enrolled in Apps or Products. This can help save time when needing to provide access to multiple users.
To bulk enroll users in on or more Apps and Products:
- From the Users screen, select multiple users to enroll by clicking the checkbox next to each user.
- Click the Options drop-down at the top left of the user list.
- Click Enroll in Apps to enroll the selected users in an App. Click Enroll in Products to enroll the selected users in a Product.
- Find the App(s) or Product(s) to enroll the users in and click the checkbox next to each applicable item.
Note: Ensure the users are first enrolled at the Product level (i.e. the Virtualitics AI Platform) prior to enrolling them in an App (which requires VAIP access). - Click Enroll in Apps/Products.
- The users should now have access to the Product(s) or App(s).
Unenrolling a User from One or More Apps and Products
Administrators are also able to remove user permissions for Apps and Products.
To unenroll a user from one or more Apps and Products:
- Log in to the Virtualitics Account Portal with an Administrator account.
- In the left-hand navigation bar, click Users.
- Locate the user to unenroll.
- Click the three dots to the right of the user information.
- Click Enroll in Apps to view users’ enrollment status in an App. Click Enroll in Products to view users’ enrollment status in a Product.
- Find the App or Product to unenroll the user from and click Enrolled to toggle to Not Enrolled.
- Once the toggle has changed to Not Enrolled, the user will no longer have access to the Product or App.
Bulk Unenrolling Users from One or More Apps and Products
Users can also be bulk unenrolled from Apps or Products. This can help save time when needing to remove access from multiple users.
To bulk unenroll users from one or more Apps and Products:
- From the Users screen, select multiple users to unenroll by clicking the checkbox next to each user.
- Click the Options drop-down at the top left of the user list.
- Click Unenroll in Apps to unenroll the selected users from an App. Click Unenroll in Products to unenroll the selected users from a Product.
- Find the App(s) or Product(s) to unenroll the users from and click the checkbox next to each applicable item.
- Click Unenroll in Apps/Products.
- The users should no longer have access to the Product(s) or App(s).
Assigning a User to One or More Groups
Administrators are able to assign users to one or more Groups. Categorizing users into different Groups helps to control access to certain data. For more details on Groups, including creating new Groups, see this article.
To add a user to one or more Groups:
- Log in to the Virtualitics Account Portal with an Administrator account.
- In the left-hand navigation bar, click Users.
- Locate the user to add to a Group.
- Click the three dots to the right of the user information.
- Click Add to Groups to add a user to one or more Groups.
- Find the appropriate Group(s) to add the user to and click Not Added to toggle to Added.
- Once the toggle has changed to Added, the user will be added to the selected Group(s).
Bulk Adding Users to One or More Groups
Users can also be bulk added to Groups. This can help save time when needing to assign multiple users to one or more Groups.
To bulk add users to Groups:
- From the Users screen, select multiple users to add to Groups by clicking the checkbox next to each user.
- Click the Options drop-down at the top left of the user list.
- Click Assign Groups to add the selected users to a Group.
- Find the Group(s) to add the users to and click the checkbox next to each applicable item.
- Click Assign to Groups.
- The users will be added to the selected Group(s).
Removing a User from One or More Groups
Administrators are also able to unassign users from one or more Groups. For more details on Groups, including creating new Groups, see this article.
To remove a user from one or more Groups:
- Log in to the Virtualitics Account Portal with an Administrator account.
- In the left-hand navigation bar, click Users.
- Locate the user to remove from a Group.
- Click the three dots to the right of the user information.
- Click Add to Groups to view the Groups the user is assigned to.
- Find the appropriate Group(s) to remove the user from and click Added to toggle to Not Added.
- Once the toggle has changed to Not Added, the user will be removed from the selected Group(s).
Bulk Removing Users from One or More Groups
Users can also be bulk removed from Groups. This can help save time when needing to remove multiple users from one or more Groups.
To bulk remove users from Groups:
- From the Users screen, select multiple users to remove from Groups by clicking the checkbox next to each user.
- Click the Options drop-down at the top of the user list.
- Click Unassign Groups to remove the selected users from a Group.
- Find the Group(s) to remove the users from and click the checkbox next to each applicable item.
- Click Unassign from Groups.
- The users will be removed from the selected Group(s).
